Facility Rental Rules and Form

Rental Processing Dates

Requests will take up to ten business days to review and process. A response will be sent by email.
Rental requests will be processed based on the following yearly timeline* (See the birthday party tab for birthday rentals):

- Fall Rentals requests (September 1to December 31**) will be processed as of July 1^st_.
- Winter Rentals requests (January 1to April 30**) will be processed as of November 1^st_.- Spring/Summer Rentals requests (May 1 to August 31) will be processed as of March 1^st_.
*Large-scale events will be reviewed on a case-by-case basis. This includes, and not limited to, events that entail: many participants (e.g. 100+), corporate sponsors, food services, a minimum five-hour rental, etc.

**Please note that from September 1 to April30, the outdoor fields, gymnasiums and Tomlinson Fieldhouse are generally not available for rent.

Rental Criteria

Facilities cannot be reserved for activities that may conflict with A&R programming and/or McGill University values.
Events that encourage an unhealthy lifestyle will not be accepted.
Athletics and Recreation activities, large-scale events and rental groups requesting multiple reservations will be prioritized.

General Rental Rules

Review the facility’s Google Calendar to make sure the venue is available for your event. It is possible to request a rental even if the facility you are interested is not available.
Full payment is required before the first session or event.
The person renting the facility must be of legal age (18 years and over).
Individuals responsible for the activity must be present for the duration of the event.
A list of all non-members and guests must be provided to management byemail prior to the event.
Facilities cannot be reserved for activities that conflict with our A&R programming (e.g. Running fitness classes), unless approved by management.
McGill A&R management must be informed of all event sponsors in advance. A&R reserves the right to refuse sponsors that conflict with existing partnership agreements and/or do not align with the University’s and/or A&R’s mission and values.
Photos and/or videos will not be permitted without prior approval from A&R management.
Event organizers will be held responsible for their group’s conduct and/or damages that might occur during the rental. Issues must be immediately reported to the front desk attendant.
It is the event organizer’s responsibility to respect the public health guidelines for their recreational activities.
McGill University and A&R will not be held accountable for injuries or incidents arising from event activities.
Equipment is not included unless outlined in the rental agreement
Proof of liability insurance of at least $2,000,000 is required for all rentals.
All individuals using the facilities of the McGill Sports Complex, including members and non-members, must adhere to the Complex’s Rules and Etiquette and to any specific facility-related guidelines.
Internal Athleticsand Recreation (A&R) programming will have priority over external rentals.
A&R reserves the right to cancel or end a rental agreement and/or an activity at any time for situations that include, and not limited to, emergency situations, unforeseen circumstances and non-compliance to the above-mentioned rules.

Studio & Activity Room Rentals

Members of the McGill Sports Complex must reserve the room(s) online if their event is open to members only.
A Rental Request Form (see below) must be completed for events that include non-members guests.
Reservations can be made up to ninety days in advance. Large-scale events will be reviewed on a case-by-case basis.
Cancellations must be made in writing 24 hours in advance of the rental start time by contacting management.
Reimbursements for cancellations made less than 24 hours prior to the event will not be possible.
Upon arrival to the McGill Sports Complex, a member of our main desk team will ask to see a valid government-issued photo ID before giving the event organizer the key to the room. The room key will only be given to the person authorized on the rental agreement. Any changes must be requested in writing to management.
Keys must be returned at the end of the event. In the event of a lost or missing key, A&R reserves the right to charge the event organizer for a lock and/or key replacement.

Birthday Party Rentals

If you are looking for a place to host your child and their friends, the McGill Sports Complex staff will design an event based on your child's favourite activities. Visit our birthday party webpage for more details and to complete the request form.

- Requests for birthday party rentals between September and November will be processed in August.
- Birthday party rentals will not be possible in December, June, July and August.
